1Who we are
Me Recorder is made by Trustek Ltd, a company registered in England and Wales (company number [number]) with its registered office at [address]. We are the data controller for the personal information described in this policy. Our ICO registration number is [number].
- Privacy questions and requests: [email protected]
- Everything else: [email protected]
This policy covers the Me Recorder apps for macOS and Windows and the website at merecorder.com.
2The short version
- Your recordings, transcripts, speaker names, notes and dictation are processed on your own computer. We never receive them.
- You can use Me Recorder without an account. You only sign in to buy or restore the yearly plan.
- When you do sign in, we keep your email address and what we need to check your plan. Paddle handles your payment.
- We don't sell personal information, and we don't use it for advertising.
- Our website uses no tracking cookies.
3What stays on your computer
Me Recorder does its recording, transcription, speaker detection and search on your computer. None of the following is ever sent to us or anyone else by the app:
- Meetings: audio, transcripts, speaker names, edits and version history, bookmarks and notes, kept in the meetings folder you choose until you delete them.
- Dictation: the audio is held in memory only and never saved. The last result is kept in memory until your next dictation or until you quit.
- Your dictionary: the names and terms you add, stored encrypted.
- Settings and diagnostic logs: the logs record app states and error codes, never audio, transcript text, meeting titles or full file paths.
Speaker detection only tells voices apart within one meeting. It doesn't create voiceprints, and it can't recognise anyone from one meeting to the next.
Encryption keys for crash-recovery files and your dictionary are kept in your system's credential store (Keychain on macOS, Credential Manager on Windows).
If you put your meetings folder somewhere that syncs to a cloud service, such as OneDrive or iCloud Drive, that service will receive copies under its own terms. The same goes for any file you export and share.
4Information we do handle
Speech model downloads. When you set up Me Recorder, it downloads its speech models from Hugging Face. Hugging Face sees your IP address, as with any download. The app sends no account details or meeting content. Hugging Face's privacy policy covers what it logs.
Your account, only if you sign in:
- your email address, used to send sign-in codes and plan emails
- an account ID we create, and the sign-in identity from our sign-in service
- the date you created the account and when you last signed in
Your yearly plan:
- plan status, paid-through date and renewal date
- Paddle's customer and subscription references for your account
- records of plan checks: the account ID, the time and a signed result your app can verify offline
Paddle collects your payment details and billing country. We never see your full card number.
Plan checks. Every so often the app asks our plan service whether your plan is current. It sends your account ID and a sign-in token. We don't collect device identifiers or anything about your meetings. Our servers keep short-lived logs with IP addresses to keep the service secure.
Updates. When the app checks for or downloads an update, our update server sees your IP address and app version.
Support. If you email us, we keep the conversation and anything you choose to send. If you send a diagnostic export, it contains app states and error codes, not meeting content.
Our website. merecorder.com uses Cloudflare Web Analytics to count visits and see which pages are read and where visitors came from. It sets no cookies and doesn't build a profile of you. Cloudflare also keeps short-lived security logs.
The app has no advertising, tracking or crash-reporting tools. If we ever add crash reporting, it will be off unless you turn it on.
5Why we use it, how long we keep it, and who helps us
| What | Why | Lawful basis | How long we keep it |
|---|---|---|---|
| Account details | To sign you in and link your plan to you | Contract | While your account exists, then [30 days] |
| Plan and purchase records | To provide the plan you paid for, and for tax and accounting | Contract; legal obligation | 6 years after the purchase (HMRC rules) |
| Plan-check and server logs | To keep the service working and secure | Legitimate interests | [30 days] |
| Support emails | To answer you | Legitimate interests | [2 years] after the conversation ends |
| Website visit counts | To see which pages help people | Legitimate interests | Cloudflare keeps them for [6 months]; they don't identify you |
| Plan emails (receipts, renewal reminders) | To tell you about your plan | Contract | As account details |
We don't send marketing emails unless you ask us to, and every one has an unsubscribe link.
These companies help us provide Me Recorder. Each one only gets what it needs:
| Company | What it does for us | Where |
|---|---|---|
| Paddle | Sells the yearly plan as merchant of record: takes payment, handles VAT, sends receipts, processes refunds. Paddle is responsible for the payment information it collects. | UK, EU and US |
| Microsoft (Entra External ID) | Runs our sign-in and sends one-time codes | EU and US |
| Cloudflare | Hosts merecorder.com and our plan service, and provides website analytics | Global |
| [Support email provider] | Our support and privacy mailboxes | [Where] |
We'll only share information with anyone else if the law requires it, or to protect someone's safety.
6Recording other people
When you record a meeting or a call, you decide what is recorded and what happens to it. For that recording you are responsible for complying with data protection law, not us. Because the recording never reaches us, we can't access, correct or delete it on anyone's behalf.
Me Recorder asks you to confirm, before each recording, that participants have been told and that you are allowed to record. It also gives you a notice you can share in the meeting chat. Tell people when you start recording, and tell anyone who joins late.
If someone asks you for a copy of a recording that includes them, or asks you to delete it, you deal with that request. Me Recorder lets you export a passage or delete a meeting, its audio, or both.
7Transfers, security and children
Outside the UK. Some of the companies above process information outside the UK, including in the United States. When they do, we rely on UK adequacy regulations or the UK's approved contract terms (the International Data Transfer Agreement or Addendum) to protect it.
Security. Everything we send and receive is encrypted in transit. We keep as little as we can, limit who can access it, and keep payment details with Paddle. Our plan service is built so it can't accept audio, transcripts, participant names or meeting titles, even by mistake.
Children. Me Recorder isn't aimed at children, and you must be 18 or over to buy a plan. We don't knowingly hold information about anyone under 13. If you think we do, email [email protected] and we'll delete it.
8Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you
- correct it if it's wrong
- delete it
- restrict or object to how we use it
- send it to you, or to another organisation, in a portable format
Email [email protected]. We'll reply within one month, and we may ask you to confirm your identity first. Deleting your account ends any yearly plan on it, but it doesn't touch the meetings on your computer.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd appreciate the chance to sort it out first.
9Changes to this policy
We'll update this policy when what we collect or how we use it changes. The date at the top shows the current version. If a change affects how we use information we already hold, we'll email signed-in customers before it takes effect.
